Eligibility
The event is open to any adult professional worldwide involved or interested in loyalty management or adjacent topics. Exceptions apply to delegates from Russia and Belarussia (see below).
Booking Your Place
We will confirm your booking by e-mail within two working days. If you do not receive your booking confirmation within this time, please contact us to confirm your booking. By booking your place at Loyalty & Awards 2025 ("the Event"), you are entering into a binding agreement.
Applicable Fees
The lower "Airlines/Loyalty Program Operators/Partners" fee is applicable only either to operators of a loyalty program issuing their own reward/recognition currency or to partners purchasing points from such companies in order to reward their own end customers in a B2C relationship. Please note that redemption platforms etc. only engaged in B2B relationships do not qualify for that rate. In case of doubt, the final right of classification between the two delegate categories remains with the Organisers.
Due to capacity restrictions at our venue in Amsterdam, stand-alone registrations for the "Suppliers/Consultants/Others" category may open in early September 2025 only (subject to avaialbility). Before that, registrations in this category are limited to sponsors of Loyalty & Awards 2025, with a cap applying to sponsors in function of their sponsorship spend.
For any interested suppliers joining the event without sponsoring or for sponsors interested in sending additional delegates beyond their allowance, we will be operating a system of waiting list, whereby priority will be given to sponsors. Delegates on the waiting list will be notified by 15 September 2025 whether their request can be honoured or not.
The following general, non-cumulative discounts apply:
- Loyalty discount: Delegates having attended Loyalty & Awards 2024 in Amsterdam receive a discount of 10% (bonus applicable to individual attendees only in the Airlines/Loyalty Program Operators/Partners category, but to all representatives if sponsoring the 2025 event).
- Global Flight customers: Airlines/Loyalty Program Operators/Partners having worked with Global Flight on a consulting basis since 01 October 2024 are entitled to a 50% discount. This bonus applies to all companies either having been invoiced or having signed a project contract during that period.
- Group discount: Airlines/Loyalty Program Operators/Partners receive one complimentary registration per two (2) paid registrations. The Organisers will liaise with the corresponding companies on an individual basis to complete bookings for these complimentary seats. The group discount is, unless otherwise stated, cumulable with other discounts.
Discounts apply to the applicable fee at the time of booking.
The Organisers reserve the right to determine the final applicable rate for each registration. If the Organisers deem that a registration took place at the wrong rate and the delegate is unwilling to pay the correct rate, a full refund may be offered.
Access to the conference area is strictly limited to fully registered delegates.
Included Services
The registration fee covers the participation in the conference over 2.5 days, a cocktail reception on 20 October 2025, a cocktail reception / gala dinner on 21 October 2025, a light lunch on 20 October 2025 as well as lunches and coffee breaks on 21 and 22 October 2025 (all taking place at the event venue). Participation to social activities is included as well, but places are limited and allocated on a first-come, first-serve basis.
The conference language is English and all-conference documentation will be provided in English.
Any other services, for instance accommodation, travel and transfers, are not included and corresponding costs are at the responsibility of the delegate.
Payment
Payment may be made by credit/debit card, by wire transfer or by requesting an invoice at the time of the booking. Our bank details are shown on the invoice. Full payment must be received in cleared funds not later than 16 October 2025 or admittance may be refused.
Visa Invitation Letters
Visa invitation letters will be issued upon request after having received the delegate's registration for the Event.
If your visa application is declined, the Organisers need to be notified by email with a proof of evidence no later than 13 October 2025 in order to refund the delegate fee.
Substitutions
If any delegate is unable to attend, we will accept a substitute delegate from the same company at no extra cost. Please notify us by e-mail at <eventmanager@loyalty-and-awards.com> with the name, job title and e-mail address of both the registered and substitute delegate. The original registration will be cancelled and the substitute delegate will need to complete their personal registration (free of charge, using a promo code) on our website.
Special conditions applying to delegates from Russia and Belarus
Given the current sanctions imposed by the EU related to Russia's war against Ukraine, delegates working for any company based in Russia or Belarus are not allowed to attend the event.
Cancellation Policy
All cancellations must be made by e-mail to <eventmanager@loyalty-and-awards.com>.
Cancellations made within 48 hours after registration are entitled to a full refund.
You may cancel your participation at the Event on your booking at any time, but no refund will be given to delegates having registered at the Airlines/Loyalty Program Operators/Partners rate. Delegates at the Suppliers/Consultants/Others rate only will be eligible for a 50% refund if notification is received by 13 October 2025. Substitutes are accepted at any time (please see substitute section above).
Strictly no refund will be given for no-shows.
If a delegate cannot attend the event for health-related reasons, corresponding requests for a refund will be considered on a one-to-one basis, based on the medical documents provided.
Insurance
It is delegates’ responsibility to take out appropriate insurance to cover travel, health and other activities related to the event. We accept no responsibility for travel, accommodation or other expenses incurred as a consequence of cancellation or postponement of the Event. We accept no liability for any other loss, including incidental or consequential loss, in excess of the amount paid for the booking.
Hotel Bookings
It is delegates’ responsibility to book accommodation as required at the Event venue or elsewhere and to pay for such accommodation in accordance with the venue’s terms and conditions. In order to be able to take advantage of our negotiated rates at the Event venue, booking through the provided link is required.
Any qualifying hotel bookings made by 30 September 2025 will be entered into a prize draw to win 15 x 10,000 ALL reward points, the loyalty program of our Official Hotel Partner Accor. 10,000 ALL points have a cash value of 200 EUR when redeeemed at Accor properties.
On-site
All participants are asked to wear their badges at all times throughout the conference.
Badge holders must not allow their badges to be worn by anyone else. Any failure to comply with the foregoing is likely to lead to the badge holder and the person wearing the badge being removed from the Event.
Anyone obtaining a conference delegate or exhibitor badge by theft, deception or other illegal means or attempting to enter the conference area without a badge will be asked to leave the Event. No one under the age of 18 is permitted to attend the conference unless they have obtained the prior written consent of the Organisers. Anyone attending the conference must not be involved in any activity which may disrupt the conference. Such activity may include participating in demonstrations, objectionable behaviour or wearing offensive apparel.
The Organisers reserve the right to exclude or remove anyone from the conference and venue who does not comply with this policy or who is considered likely to break these rules, or who is prohibited from attending by virtue of any applicable sanctions, laws or regulations.
Official conference photographers as well as own staff members may be taking photos and videos at the conference. Anyone attending the conference consents to such photography and filming without compensation and confirms that the Organisers shall be entitled to use such photos and videos, which may include photos and videos of visitors, for the purpose of marketing conferences in the future, for exploitation in any and all media, without liability. The Organisers are not responsible for any photos or videos taken by individual delegates and their subsequent use.
Delegates’ Liabilities
Delegates hereby accept liability for all their acts or omissions at the Event venue and undertake to indemnify the Organizer and keep the Organizer indemnified against all liability in respect thereof and against all actions, suits, proceedings, claims, demands, costs and expenses whatsoever, which may be taken or made against the Organizer or incurred or become payable by them arising therefrom or in respect thereof including any legal costs and expenses and any compensation costs and disbursements paid by the Organizer on the advice of Counsel to compromise or settle any such claims.
Assumption of Risks
Delegates acknowledge there are inherent risks in and injuries that may occur from participating in the Event while in Amsterdam, including, but not limited to, exposure to natural diseases, social unrest, health-related risks or accidents of all kinds. By participating in the Event or when engaging in activities associated with the Event while in Bangkok, there is a risk of exposure to bacteria, fungus, viruses and unknown contagious diseases, which notwithstanding governmental recommendations and the practices of Global Flight and the venue, cannot be eliminated. CONSEQUENTLY, TO THE FULLEST EXTENT PERMITTED BY LAW, DELEGATES KNOWINGLY AND FULLY ASSUME THE RISK OF PARTICIPATION IN THE EVENT AND SHALL NOT MAKE ANY CLAIMS TOWARDS THE ORGANISER IF ANY SUCH RISK MATERIALISES, RESULTING FROM THE DELEGATE'S EXPOSURE TO ANY OF THESE RISKS IN ANY WAY CONNECTED TO THE DELEGATE’S ENTRY TO THE EVENT OR ENGAGEMENT IN THE ACTIVITIES ASSOCIATED WITH THE EVENT.
Compliance with Health-Related Requirements
We will comply with any government-imposed health requirements in place at the time of the Event.
Alteration & Cancellation by the Event
It may be necessary to alter the venue and content of the Event, or the timing of the programme. If we cancel the Event for any reason other than outlined below, we will make a full refund of any booking fees paid. If we have to alter the date or location of the Event, this booking will be transferred to the revised date and these Terms & Conditions shall apply to the transferred booking.
Only if we have to cancel the Event due to major travel restrictions imposed by Netherlands or other governments, or if we judge any health-related measures as too restrictive, we will refund 80% of the delegate fees only. If such cancellation takes place by us after 07 October 2025, the refund will be 90%.
These Terms and Conditions are governed by French law and the courts of France will have exclusive jurisdiction over any dispute.
